Job Description

The purpose of the Executive Assistant role is to support the maximization of the effectiveness and efficiency of the operation of President/CEO. The role will support advancing the vision, mission, and core values of Burton D. Morgan Foundation. The ideal candidate will be passionate about the free enterprise system and entrepreneurship. The role will be responsible for fostering positive working relationships with Burton D. Morgan Foundation trustees, staff, and for-profit and non-profit business leaders in Northeast Ohio and beyond at many levels. In doing so, the Executive Assistant will help the President/CEO stay focused on the highest leverageable activities that drive Burton D. Morgan Foundation forward. This will be done primarily through administrative support to the President/CEO and support to other team members as needed. This includes but is not limited to calendar management, scheduling, travel coordination, meeting arrangements, event planning, initiative management, document preparation and review, program coordination, creating and gathering agendas and materials, filtering and responding to emails, and supporting in any other ways where there are opportunities. 

Essential Duties & Responsibilities:

President/CEO and Board Support

  • Represents President/CEO in an upbeat and professional manner at events and meetings, acting and speaking on behalf of the President/CEO
  • Communicates excellently both in writing and verbally with stakeholders the organization’s mission and intentions as an active participant.
  • Demonstrates the judgment needed to engage others in dialogue without committing to new initiatives or policies
  • Cultivates positive relationships among board, staff, entrepreneurs, and other stakeholders
  • Monitors and contributes to progress on the President/CEO’s strategic goals by taking initiative to assist in identifying and closing tactical gaps
  • Arranges board meeting details for all on-site and off-site meetings collaborating with staff and providing red carpet treatment to board members
  • Coordinates assembly of board meeting materials, including preparing, reviewing, distributing, and maintaining minutes of board meetings
  • Acts as a confidante and support to the President/CEO sharing insights and observations

Operations of the President/CEO Office

  • Organizes/coordinates the daily activities for effective and efficient functioning of the President/CEO’s office, including providing administrative support in all Foundation work, including external committees and advisory boards.
  • Coordinates calendar/scheduling, travel arrangements and itineraries, event planning, and other administrative functions
  • Processes, prioritizes, and filters mail, email, and calls for the President/CEO
  • Organizes, attends, and participates in calls, zooms, meetings, and events, as requested
  • Creates agendas, takes notes, and develops and tracks action items to completion
  • Establishes and maintains well-organized and accurate filing systems
  • Classifies, sorts, files, and retrieves correspondence, records, and other documents as requested.
  • Works as a collaborator with the team to provide support to key projects and events as needed.


Special Projects

  • Anticipates potential obstacles and opportunities and develops, recommends, and implements solutions for the President/CEO and the team
  • Conducts relevant research and provides reports, when needed
  • Manages, plans, and supports special projects communicating progress with President/CEO and team.
  • Creates professional PowerPoint presentations and other polished collateral as needed
  • Performs other duties as assigned

Requirements & Qualifications:

  • Bachelor’s degree in business, communication, operations, event/hospitality management, marketing, or related degree
  • Experience in a startup, scaleup, and/or growing small business is desired but not required
  • Familiarity with for-profit (startup, scaleup, and big business) and nonprofit organizations
  • Prior administrative support, operations, or event management experience preferred
  • Extremely well-organized, detail-oriented, self-motivated, and flexible
  • High degree of professional maturity; extremely discreet and mindful of confidentiality
  • Self-directed and capable of working independently with little or no supervision
  • Comfortable with handling multiple responsibilities, prioritizing, taking charge of projects, and proactively resolving problems
  • Strong administrative skills and proficient with Microsoft Office Suite
  • Familiarity and experience with large language models (e.g., ChatGPT) desired but not required.
  • Strong interpersonal skills, including excellent written, verbal, and communication skills
  • Able to troubleshoot a variety of potential technological problems
  • Capacity to work under pressure and meet deadlines
  • Efficiency and thoroughness in carrying out responsibilities
  • Familiarity with social media platforms and business operating systems (e.g., Entrepreneurial Operating System “EOS”) desired but not required.
  • Lifelong learner, growth mindset oriented, and familiar with systems thinking
  • Possess a valid driver’s license, with an acceptable driving record
  • Some local and overnight travel required (10-20%)

Compensation and Work Environment

  • This is a full-time position with an expected salary between $75,000-85,000
  • It is anticipated that this role would be mostly in-person with some remote work opportunities
  • Benefits include paid holidays and vacation, 401k match, health and prescription insurance, life insurance, short-term and long-term disability insurance, dental, and vision, as eligible
